Requirements:
Applicants must be in a possession of a Grade 12 (Matric) Certificate with knowledge of and experience in budgeting, procurement, record management services, the Public Finance Management Act, 1999 (Act 1 of 1999) (PFMA), Treasury Regulations and Departmental Financial Instructions (DFI). Ability to operate the use of a switchboard system. Good communication skills are essential. Computer skills in MS Office software. Good interpersonal skills.
Duties:
The incumbent will be responsible for receiving and attending to visitors. Answering of telephone and transferring of calls. Handle all incoming and outgoing mail. Manage the reception area. Co-ordinate office registers. Receive forms from clients (Phytosanitary certificates and inspection forms) and distribute to officials. Secretarial functions preparation, compiling and typing of documents, letters and faxes. Processing, record keeping and checking of leave for personnel. Update personnel records. Record keeping of all expenditure. Compilation of the monthly expenditure reports. Record keeping and checking of official’s overtime for correctness. Record keeping and checking of subsistence and transport claims. Handling of petty cash. Assist the Local Transport Officer (co-ordinating/record keeping of log sheets, trip authorisations, etc.). Booking of air tickets, hired vehicles, airport parking and accommodation. Assist with the upkeep of an asset register for the office as well as other inventory controller functions. Procuring of goods and services/equipment. Ordering of stationery for the office and safeguarding and distribution of face value and other forms. Invoicing clients for services rendered. Preparation and issuing of Phytosanitary certificates according to International standards. Safe- and record - keeping of relevant functional documents (Phytosanitary certificates, import permits, etc.)
